This roadmap guides your agency through ThriveSend implementation - from initial signup to fully operational B2B2G marketing platform.

This document focuses on the Medium Agency (2-4 week) implementation (most common scenario).

Task 1: Sign Up for ThriveSend (15 minutes)

  3. Select tier:

    • PROFESSIONAL (50 clients, R7,500/month) - Most agencies
    • ENTERPRISE (unlimited, R15,000/month) - Large agencies
  4. Create account:

    • Business email (becomes admin account)
    • Organization name
    • Password (strong password required)
  5. Verify email (check inbox for verification link)

Deliverables:

Task 2: Organization Configuration (30 minutes)

Navigate to: Settings → Team

ThriveSend Roles (6 available):

  1. OWNER: Full access (billing, delete organization) - You
  2. ADMIN: Manage users, clients, campaigns (no billing) - Operations Manager
  3. MANAGER: Create/edit campaigns, view analytics - Campaign Managers
  4. CREATOR: Create content, submit for approval - Content Creators/Designers
  5. VIEWER: Read-only access - Account Managers, Clients
  6. AUDITOR: Read-only access to audit logs, compliance - Compliance Officer

Add Each Team Member:

  1. Click ”+ Add Team Member”
  2. Enter email address
  3. Assign role (ADMIN, MANAGER, CREATOR, etc.)
  4. Assign security clearance (see Task 5)
  5. Send invitation

Team Member Receives:

  • Email invitation
  • Link to create password
  • Auto-assigned to organization

Deliverables:

Task 5: Set Up Security Clearances (45 minutes)

CRITICAL for Government Clients

Navigate to: Settings → Security Clearances

3 Clearance Levels:

  1. BASIC: Business clients only (no clearance required)
  2. ENHANCED: Provincial government access
  3. CONFIDENTIAL: National government access

For Each Team Member:

Step 1: Determine Required Clearance

  • Will they work on government clients? → ENHANCED or CONFIDENTIAL
  • Business clients only? → BASIC

Step 2: Upload Clearance Documents (if applicable)

  • Navigate to team member profile
  • Click “Upload Clearance Document”
  • Upload PDF/image (government-issued clearance certificate)
  • Set clearance level (BASIC, ENHANCED, CONFIDENTIAL)
  • Set expiry date

Step 3: System Auto-Enforcement

  • ThriveSend automatically restricts access based on clearance
  • ENHANCED user cannot access CONFIDENTIAL clients (system prevents)
  • Clearance expiry auto-revokes access (no manual tracking needed)

Strategy: Choose diverse clients to test all features

Recommended Mix:

  • 1-2 business clients (test standard workflows)
  • 1-2 government clients (test enhanced workflows, clearances)
  • Mix of active/inactive (test different scenarios)

Task 7: Create Pilot Clients in ThriveSend (1 hour)

For Each Pilot Client:

Business Client Example (RetailCo):

  1. Client Details:

    • Name: RetailCo
    • Sector: BUSINESS
    • Industry: Retail
    • Company Size: 50-100 employees
  2. Contact Information:

    • Approval Workflow: Standard (1-step: Manager review)
    • Notification Preferences: Email on campaign launch

Government Client Example (Department of Health):

  1. Client Details:

    • Name: Department of Health (Western Cape)
    • Sector: GOVERNMENT
    • Government Level: Provincial
    • Department: Health
    • Security Clearance Required: ENHANCED
  2. Contact Information:

Options:

Option A: CSV Import (Recommended)

  1. Export contacts from old tool (Mailchimp, Salesforce, etc.)

  4. Upload CSV (Clients → [Client Name] → Contacts → Import CSV)

Option B: API Integration (PROFESSIONAL+ tier)

  1. Use ThriveSend REST API
  2. Sync contacts from existing CRM
  3. Two-way sync (optional)

Option C: Manual Entry (Small contact lists)

  1. Navigate to: Clients → [Client Name] → Contacts → + Add Contact
  2. Enter manually

POPIA Compliance During Import:

  • ThriveSend requires consent verification for all contacts
  • Mark consent status during import:
    • Consented (marketing allowed)
    • Not consented (no marketing until consent granted)
    • Unknown (requires consent campaign)

Deliverables:

  • ✅ Pilot client contact lists imported
  • ✅ Consent status verified
  • ✅ No POPIA violations

Before the Call:

  • All team members added

Step 1: Campaign Basics

  • Campaign Name: “Summer Sale 2025 - RetailCo”
  • Client: RetailCo (Business)
  • Campaign Type: Email
  • Start Date: [Next week]
  • End Date: [2 weeks from start]

Step 2: Target Audience

  • Select contact segment: “All RetailCo Contacts” or create segment
  • Verify consent (ThriveSend auto-filters non-consented contacts)

Step 3: Content Creation

  • Use drag-and-drop editor
  • Add subject line: “Summer Sale: 40% Off Everything”
  • Build email body (text, images, CTA buttons)
  • Preview (desktop, mobile, tablet)

Step 4: Approval Workflow

  • Business client = 1-step approval (Manager review)
  • Submit for review
  • Manager receives email notification
  • Manager approves

Step 5: Schedule & Launch
