Email Tracking Spreadsheet Template

This document provides a comprehensive spreadsheet template for tracking all email outreach, measuring performance, and optimizing your email campaigns.


Option 1: Google Sheets (Recommended)

  1. Create new Google Sheet
  2. Name it: “Email Outreach Tracking 2025”
  3. Create tabs as outlined below
  4. Share with team members

Option 2: Excel

  1. Create new Excel workbook
  2. Save as: “Email_Outreach_Tracking_2025.xlsx”
  3. Create sheets as outlined below

Day 1:

  1. Review column definitions above
  2. Practice entering 2-3 sample emails
  3. Understand dropdown options
  4. Learn status progression (Sent → Opened → Responded → etc.)

Week 1:

  1. Log every email you send
  2. Update Opens/Responses daily
  3. Check Follow-up Schedule each morning
  4. Ask questions when confused

Ongoing:

  1. Update immediately after sending emails
  2. Check Next Actions daily
  3. Review your personal stats weekly
  4. Celebrate wins (meetings booked, deals closed!)

  4. Enter first 5 emails you’ve sent recently
  5. Create Tab 2 (Performance Dashboard) with basic metrics
  6. Use it daily - make it a habit

  2. Be consistent: Use same dropdown values every time
  3. Track everything: Even “no response” is valuable data
  4. Review weekly: 15 minutes every Friday to analyze trends
