We've completed the study and learned some fascinating things! Here's
what we found:
**Key Findings:**

multiple platforms"]
- [INSIGHT #3 - e.g., "Median willingness to pay: R5,000/month for the
right solution"]
**What's Next:**
Based on the strong interest we saw, we're [proceeding with development /
continuing to research / pausing to focus on other priorities].

  • Personalize ALL brackets: [NAME], [ORGANIZATION], etc.
  • Insert correct survey link
  • Spell-check and grammar check
  • Test survey link (make sure it works)
  • Send test email to yourself first
  • Verify email signature is professional
  • Best days: Tuesday, Wednesday, Thursday
  • Best times: 9-11 AM or 2-4 PM (SA time)
  • Avoid: Monday mornings, Friday afternoons, weekends
  • Day 0: Initial email
  • Day 2: Follow-up #1 (if no response)
  • Day 5: Follow-up #2 (if still no response)
  • Day 7: Final attempt (can be LinkedIn message instead)
  • Respond within 4 hours if possible
  • If they ask questions, answer thoroughly
  • If they’re interested, schedule interview immediately
  • If they decline, thank them anyway (keep relationship warm)

Track your outreach in a spreadsheet:

Target Response Rates:

  • Initial email response rate: 40-50% (warm contacts), 20-30% (cold)
  • Follow-up conversion: 15-20%
  • Survey completion: 70%+ of those who respond
  • Interview conversion: 30-40% of survey completers

If response rates are low:

  • Revise subject lines (try A/B testing)
  • Shorten email body
  • Add social proof (“50+ organizations surveyed”)
  • Offer incentive (discount on beta, free consultation)

Increase Response Rates:

  1. LinkedIn first: Send connection request, then email (they see your face)
  2. Mutual connections: Mention if you have shared connections
  3. Be specific: Reference their organization specifically (not generic)
  4. Social proof: “We’ve surveyed 20+ NGOs so far…”
  5. Reciprocity: Offer value (share findings, insights, free consultation)

Build Relationships:

  • Even if they say no, thank them
  • Connect on LinkedIn after initial contact
  • Share valuable content occasionally
  • These are potential future customers!

Red Flags (Stop Outreach):

  • Explicit request to stop contacting
  • Out-of-office replies (come back later)
  • Hard bounces (email doesn’t exist)
  • “Not interested” - respect it, move on
